Our policy
1. General
By confirming your booking you accept the terms below. The agreement is made with Hotell Arkad AB, company reg. no. 556137-9446, Östermalmsgatan 25, 722 14 Västerås, Sweden.
The rules governing your stay — age and identification, who may sleep in and visit the room, house rules, smoking and fire safety — apply to everyone staying at the hotel. It makes no difference where the booking was made, and they apply whether or not the pre-arrival confirmation in clause 2 has been completed.
Cancellation, changes and payment, however, follow the channel you booked through. If you booked via a travel site or another third party, their terms govern those points and cancellation is made with them.
Offers, packages and corporate agreements may carry their own terms. These are stated in the offer and in your confirmation, and take precedence over what is written here.
A booking of five or more rooms counts as a group booking and is covered by clause 6.

2. Booking and confirmation
Your booking is binding once you have received a confirmation with a booking number. The booking may not be transferred or resold.
Before arrival we send you a message asking you to confirm the terms again, give the names of everyone staying and an approximate arrival time.
If that step is not completed the booking still stands — the details are then given at reception on check-in.
Age
3. Age and identification
You must be 18 or over to book and to check in. As a private individual you book for yourself and those travelling with you, not on someone else's behalf. Companies with an agreement book for their employees.
Everyone staying in the room must be named in the booking and show identification at check-in. If anyone in the party is under 18, a parent or other adult guardian must stay in the same room.
We do not check in a room where minors are to stay overnight without an adult present. If the booking is non-refundable, it is not refunded in that situation.
In the room
4. Who may stay in and visit the room
Only the people included in the booking may stay overnight in the room, and never more than the room has beds for. This is a fire safety matter: in an evacuation we must know how many people are in the building and where.
Visits from people not staying at the hotel must be approved by reception in advance. We need to know who is in the building.
If we find more people in the room than the booking covers, or unregistered people staying overnight, the room rate is charged for the additional guests and the party may be asked to leave under clause 9.
Extra beds and cots are booked and charged with the reservation, subject to availability. They cannot be added on arrival.
Cancellation
5. Cancellation and changes
The room rates we sell through our own site are non-refundable. The booking cannot be cancelled or changed, and the full amount is charged whenever you cancel and whether or not you show up. In return, the rate is lower.
Offers and packages may carry different cancellation terms. These are stated in the offer and in your confirmation.
If you leave earlier than planned, the whole booked period is charged.
The statutory right of withdrawal does not apply to accommodation booked for a specific date.
Groups and meetings
6. Group and meeting bookings
The whole group can be cancelled free of charge up to four weeks before arrival. After that, 50% of the total booking amount is charged.
Individual rooms within the group can be cancelled free of charge up to two weeks before arrival. After that, the first night is charged.
The meeting room can be cancelled free of charge up to four weeks before arrival. After that, 50% of the total cost is charged. Changes are subject to availability.
Catering requests must reach us at least two weeks before arrival, and allergies or special diets at least one week before. If they arrive later we cannot guarantee that they can be accommodated.
Arrival
7. Arrival and departure
Check-in is from 15.00 and check-out by 12.00.
The room is held until 23.00. If you will arrive later, tell us in advance — otherwise the room may be let to someone else. If you do not arrive at all, the whole stay is charged.
Late check-out cannot be guaranteed and must always be agreed with reception. Where granted, it is charged at SEK 150 per hour started.
Payment
8. Prices and payment
Prices are in Swedish kronor and include VAT. If the booking is changed, the price may be adjusted to the rate applying at the time of the change.
Payment is made at check-in unless otherwise agreed. Prepayment and invoicing can be arranged in advance.
The hotel is cash-free. We accept Visa, Mastercard, American Express and Maestro.
The card used for payment must be issued in the name of the person checking in. Where a company pays for an employee's stay, this is done against a corporate agreement or by invoice.
We reserve the right to request a booking fee or prepayment, which is deducted from the final bill.
House rules
9. House rules, disturbance and removal
After 22.00 the hotel is to be quiet. Parties in the rooms are not permitted.
If a disturbance means we have to call out security or an on-call service, a charge of at least SEK 10,000 applies. It covers the call-out, the extra work for our staff and the revenue lost on rooms we cannot sell because of the disturbance.
In the event of serious or repeated disturbance, threats towards staff or other guests, or intoxication that disturbs others, the party is removed from the hotel immediately. Remaining nights are not refunded. We may refuse check-in on the same grounds.
The person who made the booking is responsible for the charge. By checking in, each guest in the room accepts the house rules and is jointly liable for any costs incurred.
Smoking
10. Smoking and fire safety
The whole hotel is non-smoking, rooms included. Smoking in a room means the room must be treated and cannot be sold — a charge of at least SEK 5,000 therefore applies. The same goes for e-cigarettes, and for snus that causes damage.
Tampering with, covering or disabling a smoke detector or fire alarm is charged at a minimum of SEK 10,000 and leads to immediate removal without refund. If the alarm is set off needlessly and the fire service attends, their cost is charged as well.
The person who made the booking is responsible for the charge, and each guest in the room is jointly liable.
Pets
11. Pets
Pets are welcome once approved in advance. Dogs are charged SEK 300 for the whole stay.
The fee covers normal cleaning. Any damage the animal causes is charged on top, at actual cost.
Parking
12. Parking
Parking is available in the hotel courtyard at SEK 95 per night, subject to space. Places are limited, so book yours when you reserve the room or call reception. Enter through the gate at Östermalmsgatan 25.
Vehicles and their contents are left at the owner's own risk.
If something is wrong
13. If something is wrong with the room
If you find a fault, tell reception straight away — ideally within an hour of checking in. That usually gives us time to put it right or move you to another room.
Faults we are not told about during your stay cannot be put right, and the scope for compensation is then limited. Any compensation is assessed on the circumstances.
We may need to move you to another room when operations require it. You then receive an equivalent or better room at no extra cost.
Liability
14. Damage, lost property and your safety
Damage beyond normal wear is charged at actual cost. We do not pre-authorise an amount on your card, so the sum is paid on site or invoiced afterwards. The person who made the booking is responsible for payment.
Do not leave valuables or luggage unattended — not at check-in or check-out, in the dining room, or while waiting for a taxi. The hotel has no strict liability for items kept in the room or in public areas.
Lost property is kept for 14 days and then disposed of. Valuables, identity documents and passports are handled separately — contact reception as soon as you notice something missing.
Note where the nearest emergency exit, alarm button and fire extinguisher are. Instructions are on the inside of your room door.
Wireless internet is included in your stay and is used at your own risk.
Force majeure
15. Our obligations and force majeure
If we cannot provide the room agreed, you are entitled to an equivalent or better room, with us or at a hotel of the same standard, at no extra cost.
In the event of strikes, pandemics, fire, war or other circumstances beyond our control, Hotell Arkad may cancel without liability for compensation.
Privacy
16. Camera surveillance and personal data
The hotel's public areas are monitored by camera to prevent crime and improve safety for guests and staff. There is no surveillance in guest rooms or toilets. Recordings are kept for seven days and released only to the police or another authority in an investigation.
We process your personal data to handle your booking and stay, and record the names of those travelling with you for fire safety and liability reasons. Read more in our privacy policy.
Complaints
17. If you are not satisfied
Speak to reception first — most things we can settle on the spot. If we cannot agree, you may refer the matter to the Swedish National Board for Consumer Disputes at arn.se, or to the EU online dispute resolution platform.
Swedish law applies to the agreement.
